Scope of Work

Department: Exploration

Reporting to: Head of Exploration

Commencement Target: December 2025 / January 2026 (Immediate availability preferred)


Job Objective

To provide comprehensive administrative and operational support to the Exploration Department and other departments as required.


Key Responsibilities

  • Manage all incoming and outgoing correspondence, ensuring proper registration and filing in designated systems or folders.
  • Handle invoice control — registration, updates, and coordination with relevant departments and contractors.
  • Support IT & Data Management Executive in managing technical data transfers via DHL or email.
  • Coordinate business travel and home leave arrangements (flight, hotel, forms, and expense settlement).
  • Schedule and organize meetings, appointments, and hospitality for guests.
  • Maintain both digital and physical filing systems.
  • Handle confidential document transportation and assist with cheque clearances as needed.
  • Support Secretary to GM and Admin HR in planning and executing internal and external events (CSR, anniversary, team building, etc.).
  • Answer and redirect phone calls for the Kuala Lumpur office.


Requirements

  • Diploma or equivalent in Business Administration or related discipline preferred.
  • Minimum 3 years of administrative experience, ideally in an oil & gas or energy-related organization.
  • Proficient in MS Office Suite and document control systems.
  • Strong organizational skills, attention to detail, and ability to multitask.
  • Excellent communication and interpersonal abilities.
  • Professional demeanor with discretion in handling confidential matters.
